What a Dubai brokerage actually needs from a CRM

A generic CRM tracks contacts and deals. These are the workflows that separate a real estate CRM from a contact list.

Portal leads that are answered fast

Most enquiries arrive from Bayut, Dubizzle and Property Finder. Buyers usually enquire with several agents at once. What matters is that the lead reaches the right agent automatically, that someone is measured on how quickly they respond, and that a lead nobody picks up does not sit in limbo. Ask each vendor which portals send leads straight into the CRM, and what happens to a lead the assigned agent ignores.

WhatsApp that belongs to the brokerage

Most Dubai deals are negotiated on WhatsApp, often on the agent's own phone. That causes two problems: managers cannot see what is being said, and when an agent leaves, the client history leaves with them. A good real estate CRM connects each agent's number through Meta's official WhatsApp Business Platform, so chats are stored with the brokerage and visible to managers. Ask whether agents can keep using the WhatsApp app on their phone, and whether the CRM charges extra per message.

Listings, portals and permits

Every property advertised in Dubai needs a Dubai Land Department advertising permit (Trakheesi) before it can go live on portals such as Bayut and Dubizzle. Re-typing the same listing into several portal dashboards wastes time and creates errors. Look for a CRM that publishes listings to the portals you pay for, keeps permit details with the listing, and lets you share off-market stock privately.

Off-plan payments and SPA installments

Off-plan deals run for years. The Sale and Purchase Agreement (SPA) sets installment dates that the buyer, the developer and your agent all need to track. A CRM that stores the schedule and reminds the team before each payment keeps the relationship alive long after the booking.

Client documents and data protection

Brokerages collect passport copies, Emirates IDs, title deeds and tenancy contracts. Under the UAE's Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), you are responsible for keeping that data secure. Documents should sit in a private, access-controlled vault inside the CRM, not in agents' WhatsApp galleries or personal email.

2. PropSpace

What it is: PropSpace is a UAE-built real estate CRM that has operated since 2012. It was part of Property Finder until September 2024, when Property Finder sold it and it became an independent company. It has two modules: a brokerage CRM and property management.

Best for: established brokerages that run both sales and rentals or property management, and rely heavily on Property Finder.

Limitations

  • A 12-month minimum contract and a minimum spend of AED 500 a month, which is a bigger commitment for a small or new brokerage.

  • Its WhatsApp strength, as described on its own site, is capturing portal WhatsApp leads. If you want each agent's full WhatsApp conversations in the CRM, ask how that works before you sign.

  • We could not find AI chat summaries or Arabic voice-note transcription among its listed features.

PropSpace is the most complete choice for a brokerage that also manages property and needs RERA forms generated in the CRM. If your business is mainly sales, off-plan and WhatsApp conversations, check whether you will use the property management side before committing to a year.

3. Pixxi

What it is: Pixxi is a real estate CRM built in Dubai. It says it is used by more than 400 Dubai agencies and covers leads, listings, off-plan projects, deals and commissions.

Best for: brokerages with a strong off-plan focus that want project data and marketing material inside the CRM.

5. Zoho CRM

What it is: Zoho CRM is a general-purpose CRM that many UAE brokerages customise for property, often with a local Zoho partner. It sits alongside Zoho's accounting, email and helpdesk apps.

Best for: brokerages with an in-house admin or a trusted partner, who want low running costs and full control over how the system is built.

Zoho is the budget route if you are happy to build. Brokerages that go this way should budget for the setup and plan who will maintain it when the person who built it moves on.

What about the portals' own tools, HubSpot and GoHighLevel?

Bayut Profolio is Bayut's own listing management tool for agents. It manages listings and leads across Bayut and Dubizzle, with market insights and listing quality scores. It is useful, but it covers only those portals and is not a full CRM for WhatsApp, follow-ups or payments. Property Finder sold its CRM business (PropSpace) in 2024 to focus on its marketplace.
