Real estate lead management: capture, assign and never miss a lead
Majlis CRM collects every enquiry from Property Finder, Bayut, Dubizzle, your website, WhatsApp and any other source through webhooks. It creates the lead, assigns it to an agent in seconds and tracks how fast they respond. Leads that are not contacted in time move to the General Pool, with the miss on record.

What Majlis lead management does
- Captures leads from portals, web forms, WhatsApp and ad platforms in one pipeline
- Connects any lead source with incoming webhooks
- Sends CRM events to your other tools with outgoing webhooks
- Assigns each new lead to the right agent automatically
- Tracks response-time SLAs for every agent
- Moves uncontacted leads to the General Pool, with the miss recorded
- Organises leads in pipelines with stages, tasks and a shared calendar
How it works
- 1
A lead comes in
From a portal, your website form, WhatsApp, an ad platform or any tool connected by webhook.
- 2
Majlis creates and assigns it
The lead is created with its source and assigned to an agent, or left in the General Pool for any agent to claim.
- 3
The clock starts
The agent gets the lead and a WhatsApp auto-reply goes out. The response-time SLA starts counting.
- 4
Missed leads are rescued
If the agent doesn’t make contact in time, the lead moves to the General Pool for another agent to claim, and the miss shows on the dashboard.
Every lead source in one pipeline
Property Finder, Bayut and Dubizzle leads arrive automatically, as do website form submissions and new WhatsApp conversations. Each lead keeps its source, so you can see which portals and campaigns bring buyers who close. Agents can also add leads by hand, and you can import contacts, and optionally leads, from a CSV file when you start.
Connect any lead source with webhooks
In plain terms
A webhook is an automatic message between two apps. Majlis CRM gives you a private web address for incoming leads. Any tool that can send a lead to a web address can deliver it straight into Majlis: a landing page, a Facebook or Instagram lead form, a Google Ads form, TikTok, a chatbot or your own system. It works the other way too: Majlis can notify your other tools the moment something happens in the CRM.
Incoming and outgoing webhooks
| Direction | What it does | Example uses |
|---|---|---|
| Incoming webhooks | Receive leads from any external source and create them in Majlis automatically | Facebook and Instagram lead ads, landing pages, Google Ads lead forms, TikTok forms, partner referral forms, a developer’s launch page |
| Outgoing webhooks | Send Majlis events to another system as they happen | Notify a Slack or Teams channel of a new lead, push won deals to accounting, sync to a data warehouse or BI dashboard |
For your developer
Incoming: Majlis gives your workspace a webhook URL. Your lead source sends each new lead to it as an HTTPS POST request with the lead’s details. Majlis creates the lead, applies your assignment rules and starts the SLA clock. Outgoing: Majlis sends event data to a URL you choose when things happen in the CRM, so your other systems stay in sync.
Automatic assignment to the right agent
Every lead gets an owner, or waits in the General Pool where any agent can claim it.
| How the lead arrives | Who gets it |
|---|---|
| Created manually | You choose: a specific agent, assign equally across the team, or leave it unassigned in the General Pool |
| Bayut or Dubizzle | The listing’s ‘Leads go to’ agent first, then the listing’s portal agent, then the Bayut agent matched by email. If none apply, the General Pool |
| No owner | Any agent can claim it from Leads or from the lead’s details tab |
| Not contacted in time | Moves to the General Pool automatically |
Response-time SLAs and the General Pool
Set how quickly agents must contact a new lead, in minutes or hours. The clock starts when the current owner gets the lead and restarts if the lead is claimed or reassigned. Marking the lead as contacted, logging a call, sending a message or booking a meeting stops it.
When a lead misses the SLA
- If it is still New and nobody has logged a call, WhatsApp, email or meeting, it moves to the General Pool
- It stays in the same pipeline and stage
- The agent gets a ‘You missed a lead’ notification, managers are told, and every other agent is invited to claim it
- The miss is recorded against that agent and shows on the dashboard
How to set it up
- Open Settings: choose General Pool and SLA, under Workspace.
- Turn it on: switch on the General Pool card.
- Set the time: under ‘Contact leads within’, enter a number and choose minutes or hours.
- Save: click Save. Only a founder can change this setting.
Pipelines, stages, tasks and a shared calendar
Move leads through stages such as New, Contacted, Viewing and Offer. Each lead carries its tasks and appointments, and viewings sync with each agent’s Google Calendar. Stage changes can trigger follow-up sequences automatically.
