Quick answer: An AI note taker such as Pocket lets a real estate agent keep their eyes on the client instead of a notepad. It clips to the back of the phone, records the meeting or viewing (with the client's permission), and returns a transcript, a summary and action items. Paste that summary onto the lead in an AI CRM like Majlis CRM and it stays with the client's record, where the AI suggests the follow-up.
Key takeaways
Clients tell you the deal in passing. Budget, timeline, mortgage status and the school run come out over coffee, not in a form.
Pocket records in person and on calls, transcribes in 120+ languages, and pulls out a summary and action items.
Ask before you record. Recording a conversation without consent is an offence under UAE law.
Notes only help if they reach the lead. In Majlis CRM, a note on the lead's Notes & Calls tab is seen by the whole team, and the AI suggests a follow-up call, a meeting and a stage from it.

Why real estate agents lose what clients tell them
A buyer consultation in Dubai rarely sounds like a questionnaire. Over forty minutes the client mentions that their budget stretches to AED 3M if the service charges are low, that the mortgage pre-approval comes next month, that their daughter starts school in Dubai Hills in September, and that they hated the last apartment because of the road noise. Each one of those is a reason to call back, a property to rule out or a deadline.
Most agents write three words in their notes app after the meeting, if they remember. A week later, the details that would have made the next call personal are gone. When the lead moves to a colleague, they start from nothing.
What Pocket is
Pocket is a small AI voice recorder made for real conversations. The points that matter for agents:
It sits on the phone. It clips to the back with a MagSafe mount, so there is nothing extra on the table.
Meetings and phone calls. Two microphones pick up the room, and a contact microphone captures phone calls when Pocket is on the back of the phone.
One press to record, and it works offline. The audio syncs to the app afterwards. Pocket lists up to four days of battery.
Transcript, summary and action items. Pocket transcribes with speaker labels, writes a summary (with templates you can choose), lists tasks and deadlines, and can draw a mind map of the conversation.
120+ languages. Useful in a market where one meeting can move between English, Arabic, Hindi and Russian.

Ask before you record: the UAE rule
In the UAE, recording a private conversation without the other person's permission is a criminal offence. Federal Decree-Law No. 34 of 2021 on Combatting Rumours and Cybercrimes (Article 44) covers recording or disclosing conversations or calls without consent, with a jail term of at least six months and/or a fine of AED 150,000 to AED 500,000, as summarised by the UAE Public Prosecution.
Do this every time: before you press record, say it and get a yes. "I use a note taker so I don't miss anything you tell me. Is it OK if I record this meeting? The notes stay with me and my brokerage." If the client says no, put the phone away and write notes the old way.
Never share a recording or transcript outside your brokerage, and never post one. This is general information, not legal advice.
How to use Pocket in a client meeting
Before the meeting
Charge it and check it is paired with your phone.
Pick a summary template that suits buyer consultations, or write a custom one (see the checklist below).
During the meeting or viewing
Ask for consent, then press record and put the phone face down.
Listen. Ask the follow-up questions you would normally be too busy writing to ask.
At the end, repeat the key points out loud: "So, three bedrooms, AED 3M, Dubai Hills or Arabian Ranches, moving by August." The summary will catch them clearly.
After the meeting
Read the summary within the hour, while you still remember the meeting, and fix anything the AI misheard (names of communities and developers are the usual ones).
Turn the action items into dates: the call back, the brochure to send, the viewing to book.
Put the summary on the lead in your CRM, the same day.
What to capture in client meeting notes
| Detail | Why it matters | Example |
|---|---|---|
| Budget, and its stretch | Sets the search and the negotiation | AED 2.5M, up to 3M for the right villa |
| Finance | Cash or mortgage decides timing | Pre-approval due mid-November |
| Areas and must-haves | Rules listings in or out | Dubai Hills, quiet street, 3BR |
| Timeline and trigger | When to push, when to wait | School starts in September |
| Decision makers | Who needs to see the property | Spouse in London, viewing by video |
| Objections | What lost the last deal | Road noise, high service charges |
| Next step and date | The follow-up that keeps the deal moving | Send 5 options by Thursday |
Put the meeting notes on the lead in your CRM
A summary in the Pocket app is useful to you. A summary on the lead is useful to the brokerage: your manager sees it, the agent who covers your leave sees it, and it is still there if the lead moves to someone else.
In Majlis CRM it is one paste:
Copy the summary from Pocket.
Open the lead in Majlis, go to the Notes & Calls tab, click Add note, paste, and click Save note.
The AI reads the note and suggests what to do next: a call reminder at the time the client mentioned, a meeting, or a move to the next stage. Nothing is created until you click it.
Over months, those notes become the memory of the relationship: every meeting, call and stage move on one timeline, in the client's own words. When the client calls back in six months asking about "that villa near the school", whoever answers can read exactly what was said.
No device? Use the voice note instead
Majlis CRM has its own voice note button. After a meeting, press it and say what happened in your own words ("Met Rania, budget 3M, wants Dubai Hills, call her Thursday"). Majlis turns it into a draft: it finds the lead, suggests the stage move, the details to update and the follow-up, and you accept what is right. It understands English, Arabic, Hindi, Urdu and Malayalam, even mixed. See the AI assistant for more.
Frequently asked questions
What is the best AI note taker for real estate agents?
For in-person meetings and viewings, a device that records the room works better than a meeting bot built for Zoom or Google Meet. Pocket is one example: it clips to the phone, records meetings and calls, and writes a summary and action items. Whatever you choose, what matters is that the notes end up on the lead in your CRM.
Is it legal to record client meetings in Dubai?
Only with the other person's consent. UAE law makes it an offence to record a private conversation or call without permission. Ask clearly before you record, and do not share the recording outside your brokerage.
Does Pocket work in Arabic?
Pocket says it supports more than 120 languages, which includes Arabic. Check community and developer names in the summary, as any transcription can mishear them.
Can Pocket record phone calls?
Yes. Pocket has a contact microphone that captures phone calls when it is attached to the back of the phone. The consent rule applies to calls as well.
How do I get Pocket notes into Majlis CRM?
Copy the summary from the Pocket app, open the lead in Majlis, go to Notes & Calls, click Add note, paste and save. The AI then suggests a follow-up, a meeting or a stage change from the note.
What should a real estate agent write in meeting notes?
Budget and how far it stretches, how they are paying, areas and must-haves, the timeline and what is driving it, who else decides, what they did not like, and the agreed next step with a date.
